Job Summary

Reporting to the Senior Health & Safety Specialist, the Health & Safety Coordinator provides reliable, effective and efficient administrative and technical support to the Senior Health and Safety Specialist.
The key responsibilities of this role are to coordinate Health, Safety and Wellness activities in accordance with the City’s Health and Safety Management System.

Duties and Responsibilities

  • WSIB claims management including point of contact with employee and/or supervisor, WSIB and Ministry of Labour, Training and Skills Development where necessary in accordance with legislation for workplace injury reporting cycle, form completion and reporting, data entry, early and safe return to work implementation.
  • Health and Safety training coordination including vendor management and learning management system administration for health and safety specialty courses excluding all mandatory compliance training
  • Delivery of Health and Safety instructor lead in class training for large groups of employees. Example staff health and safety orientation.
  • Tracking of Health and Safety data including Ministry of Labour, Training and Skills Development contacts and contractor incidents.
  • Health and Safety Management System support and auditing.
  • Development and preparation of health and safety training materials.
  • Revision of Checkmark Health and Safety Material and drafting and recommendation of new material based on legislative changes.
  • Support and coordinate the five Joint Occupational Health and Safety Committees and facilitate required meetings, certification training, Terms of Reference review, etc.
  • Coordinate First Aid training and First Aid Committee activities; management of Civic first aid room and supplies.
  • Back up to the Critical Incident Stress Team lead
  • Review, oversight and purchase of health and safety supplies and equipment
  • Back up health and safety expertise for Emergency Operations Committee
  • Basic job hazard analysis and safe work instruction development.
  • H&S Coordinator:
    • Provide short-term back up to the Learning and LMS Coordinator during vacation periods for critical compliance and corporate learning requirements/assignments
    • In association with the Learning and LMS Coordinator contribute to on-going LMS process improvements including the establishment of an automated process for the uploading of H&S training reports into the LMS.
  • Wellness
    • Create weekly wellbeing post
    • Lead some wellness conversations
    • Act as back up as Wellness lead to Total Wellbeing Team and Champions
    • Prepare monthly material to be provided to Total Wellbeing Champions
    • Lead Total Wellbeing Champion quarterly meetings and coordinate sharing of monthly information
    • Track annual Total Wellbeing Plan implementation 
    •  Input data into the Wellness Dashboard on a quarterly basis
    • Coordinate Lunch and Learns 

Qualifications & Experience

  • Health and Safety diploma or equivalent and 5+ years’ related experience.
  • Ability to be flexible in hours of work to facilitate health and safety training schedule and health and safety emergencies. 
  • Demonstrated advanced level of expertise of data bases (Microsoft Office suite)
  • Demonstrated comfort of data analysis with ability to generate reports.
  • Demonstrated knowledge in health and safety legislative compliance. 
  • Demonstrated attention to detail, excellent customer service, organizational and logistical skills using both interpersonal and technical health and safety skills
  • Possession and maintenance of an Ontario Class "G" Driver's License
