The Department of Mathematics & Statistics – a key academic unit within the University of Guelph’s College of Engineering and Physical Sciences (CEPS) – is an active and dynamic group of researchers and educators working in a wide range of fields in mathematics and statistics. Offering both undergraduate and graduate degree programs, the Department teaches more than 10,000 undergraduate students across campus and supervises ~50 graduate students each year. Currently consisting of 26 faculty members, 4 regular full-time staff, and ~5 sessional lecturer appointments, the Department has an annual operating budget of $5.5 million and a sizeable research enterprise comprised of ~70 grants totalling approximately $1.0 million in any given year. As Administrative Officer for the Department of Mathematics & Statistics, you will participate fully in the Department’s strategic and operational planning activities, from helping to develop and implement strategies and systems to achieve financial and operational goals, to managing and monitoring the multimillion-dollar operating budget and research accounts. Reporting to the Chair of the Department of Mathematics and Statistics, and the Associate Director, Finance and Operations, CEPS, you will provide financial, human resources and administrative support to the Department Chair, faculty, staff and students, in order to effectively manage the day-to-day operations of the Department.

In this key role, you will be responsible for the human resources management of the administrative staff within Mathematics and Statistics, and provide guidance and support to the Chair on various HR matters within the Department. This will include directly supervising 2 full-time administrative staff members, ensuring adherence to collective agreements, legislation, and University, College and Department policies and procedures, and coordinating all hiring for CEPS, including any staff vacancies. In addition, you will be expected to:

  • manage and coordinate various administrative support activities for the Department, including matters related to faculty tenure and promotion;
  • promote creative problem-solving through ongoing communication and interaction with others, both within the Department and across campus, such as by being an active member of Department, College and, where appropriate, University-wide meetings and committees; and
  • take on special projects and other duties as they arise.

REQUIREMENTS

To assume the role of Administrative Officer, you should be a critical thinker and problem-solver with strong relationship-building abilities, and a profile that includes:

  • Undergraduate degree in Business Administration and/or Human Resources Management or a related field, combined with up to three (3) years’ related work experience, or an equivalent combination of education and experience.
  • Experience with financial management and human resources management.
  • Comprehensive knowledge of current financial software, public sector accounting and reporting.
  • Exceptional organizational and planning skills, along with the ability to meet deadlines and adapt to changing priorities.
  • Excellent communication skills and highly developed interpersonal skills, with the ability to build strong working relationships.
  • You are a critical thinker and problem-solver, with the ability to apply analysis and professional judgment to solve complex issues.
  • You act professionally with tact, diplomacy and confidentiality. 
  • Strong initiative and leadership skills.
  • Strong computer skills, including Microsoft Office Suite (Excel, Word, PowerPoint, Outlook 365), and the ability to learn, and adapt to, specialized software and systems at the University of Guelph.

ASSETS:

  • CPA or CHRP designation, obtained or in progress.
  • Experience working in higher education or the public sector.
  • A strong working knowledge of academic policies and procedures, as they relate to a teaching/research unit.

NOTE: This appointment is regularly performed on-campus but, due to the COVID-19 pandemic, will be initially fulfilled remotely (off-campus) until the University resumes its regular operations.
